How to create a business email account in cPanel

An address at your own domain, sales@example.in rather than a free Gmail one, comes with cPanel hosting. Creating it takes a minute. Making sure your mail reaches the inbox takes one more step that most guides skip.

Open Email Accounts
Log in to cPanel, find the Email section and click Email Accounts. Then click + Create.

Choose the address and a password
If the account hosts more than one domain, pick the right one from the Domain list. Type the part before the @ in Username, for example
salesoraccounts.Set a long password or click Generate, and store it in a password manager. Leave Storage Space at the plan default unless you want a hard cap for this mailbox. Click Create.

Open it in webmail
Back on Email Accounts, click Check Email beside the new address to open Roundcube in the browser. You can also go straight to
example.in/webmailand sign in with the full email address and its password. -

Add it to Outlook, Gmail or your phone
Click Connect Devices beside the address. cPanel lists the exact server names for your account; use the Secure SSL/TLS Settings it shows. That is usually IMAP on port 993 for incoming mail and SMTP on port 465 for outgoing, with the full email address as the username for both.
In Outlook, Apple Mail or the Gmail app, add a new account and choose Other or IMAP, then enter those settings. IMAP keeps mail on the server, so the phone and the laptop always show the same inbox. Step-by-step settings for each app.

Set up SPF and DKIM so mail is delivered
Open Email → Email Deliverability. If your domain shows a problem, click Manage and then Repair. cPanel writes the SPF and DKIM records for you when your domain uses our nameservers.
If your DNS lives somewhere else, such as Cloudflare or your registrar, copy the SPF and DKIM records that page suggests into that DNS instead. Then add a DMARC record, starting in monitoring mode:
_dmarc.example.in TXT "v=DMARC1; p=none; rua=mailto:postmaster@example.in"Gmail and Yahoo now send much unauthenticated mail to spam or reject it, so skip this step and customers may never see your invoices.
Mailbox, forwarder or catch-all?
cPanel offers three ways to receive mail at an address, and they suit different jobs:
- Email account: its own mailbox and password. Use it for each person or role that replies to mail.
- Forwarder (Email → Forwarders): copies incoming mail to another address and stores nothing. Good for
info@landing in an inbox someone already reads. - Default address (catch-all): receives mail sent to any address that does not exist. Leave it set to reject; a catch-all mostly collects spam.
If mail is not arriving or sending
In order of how often each is the cause:
- The MX records point elsewhere. If the domain once used Google Workspace or Zoho, mail still goes there. Check Email → Email Routing and your MX records.
- The mailbox is full. A mailbox at its quota rejects new mail. Raise the quota or delete old mail.
- The username is incomplete. Mail apps need the full address, not just
sales. - Port 25 is blocked. Many Indian broadband providers block it for outgoing mail. Use 465 or 587.
- Mail lands in spam. Run Email Deliverability again and check the DMARC reports once they arrive.
